Please read this before you begin!
Start with the sheet titled 'W4' and fill it out EXACTLY as your W4 on Workday with the Company. This should calculate the Federal Withholding Values on each of your paychecks extremely closely.
Navigate to the sheet titled "Paycheck Calculator" and fill out lines 3-15. These answers will autofill the corresponding boxes for the entire year. Some values are color coded to show you where they're located on the sheet. Whatever you enter for "Average TFP/mo" will populate for every paycheck for the year. This can be overridden by typing in actual TFP values for the 20th of each month on line 37. Remember to use the TFP value from the Payroll Report, not the projected credit on CrewHub/CWA, as the projected credit does not take into account overrides and some training events.
REMEMBER THAT THE TFP IS PAID THE MONTH AFTER IT IS EARNED. So, for example, your June 20th TFP value is for work completed in May. Enter your May Payroll Report TFP for your June 20th TFP on line 37.
This sheet takes into account which income is taxable and which is not (including imputed income). The TAXABLE INCOME line (line 36) will be close to Box 1 on your W-2 for tax filing purposes.
If you have issues please look at the sheet titled "Instructions" first. Also please check the FAQs page if something doesn't look right at first. If you find any known errors please submit them on the Contact/Feedback page.
Finally, I am not a financial adviser, CPA, or anything like that. I am mere line swine and this should not be taken as financial advice. This sheet has hundreds of formulas and there may be some errors floating around. This is purely for your paycheck planning purposes and it is your job to check all the inputs are correct. This sheet WILL calculate the amound of Federal Withholding SWA deducts from your paycheck and WILL give you a good idea of if/when you will fill any retirement buckets (401K, NEC, MBCBP, etc.). This sheet is current for 2025 and all values should be taken into account, including LOL, STD, LTD and all IRS limits. This sheet does have limitations. It WILL NOT calculate state tax withholdings so that will have to be your best guess. Also this sheet WILL NOT calculate for any Top Hat, 415 Excess Benefit or 401(a)(17) plans. ALL excess monies come back as CASH on this sheet.
On the next page there are two links. One is for Google Sheets/Google Drive, the other is for Excel. The sheet is not fully functional with Numbers at this time. After you download the spreadsheet I recommend filling out the form below it with your email so that if any errors are found I can send out a fix for it.
